Handoff Template
A handoff template for South African graphics jobs, so production, dispatch, installers, and the client all work from the same final job detail.
How Handoff Template fits a normal trade week
Handoff Template keeps production, dispatch, installers, and the client working from one final job record. The handover should include approved artwork, branch details, quantities, finishes, and any site notes that affect fitment.
Open the Handoff Template with the branch name, install date, and the final approved artwork reference. Add where the job sits in the chain, whether print only, print and dispatch, or full fitment. For South African retail work, note anything that affects production or access, such as coastal exposure, generator hours, centre rules, or a split delivery to another town.
Mark up the storefront elevation before the pack is handed over. That mark-up helps production read mullions, door swings, uneven fascia lines, and existing vinyl that may stay in place. Keep the filled template with the order files so dispatch and installers work from the same branch record instead of scattered chat messages.
What goes into the handover
A proper handoff records quantities, substrate, finish, packing method, and the contact person for site access. It should also state whether artwork is approved for print, whether sizing was checked against the branch photo, and whether any panel joins or cut lines need attention. One final record prevents production notes and install notes from drifting apart.
Before sending the Handoff Template through the contact form, check that the branch code, dimensions, and finish match the approved artwork set. Attach the latest photo, list any fitment risks, and mention if the consignment must be packed per branch or per campaign. Use the contact form once the handover is final, not while artwork changes are still being discussed.

Branch Conditions That Change Fitment
Retail rollouts here often involve mixed branch conditions, older sign trays, and centres with restricted loading times. Use the template to record existing signage, non standard fascia measurements, and whether installers need after hours access. If one branch differs from the rest, write that variance into the handover instead of relying on a group brief.
Material choice should be noted where climate or site condition changes the build. Durban salt air, inland dust, strong western sun, and older painted substrates can all affect vinyl selection and fitment prep. If power supply, courier routing, or mall access could shift production or dispatch planning, include it in the handover record.

Using the template with production
Complete the Handoff Template with branch photos, the handover date, and any artwork, sizing or fitment issues already picked up before production. Keep the subject line direct and branch-specific.
Complete the Handoff Template once artwork is signed off and before the job moves into print or packing. Save it with the branch files so production, dispatch, and installers can trace exactly what was approved and what must be supplied. For repeat campaigns, update photos and site remarks rather than copying an old handover unchanged.
